Apex North Property Manager is a private tool that Apex North Properties, LLC (“we”) uses to manage its own rental properties. This page explains what information it handles and what it does with it.
Information the app holds
- Property, unit, lease and tenant details entered by the landlord: names, contact details, rent amounts, lease dates and terms, and the ledger of charges and payments.
- Documents the app generates, such as leases, ledger statements and signed copies.
- The landlord's login details (email address and a securely hashed password).
Google (Gmail) access
If the landlord chooses to connect their Google account, the app asks for permission to:
- Send email from the landlord's Gmail account (the gmail.send permission), only when the landlord clicks send on a message the app has prepared.
- Read email (the gmail.readonly permission, optional) to find rent-payment notices and utility bills in the landlord's inbox. The app looks for these messages, saves the details it extracts (sender, subject, amount, account number, date) and a short excerpt so the landlord can check them, and shows them for the landlord to approve before anything is recorded. It does not act on other email.
The app's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Information from Google is used only to provide these features. It is not sold, not used for advertising, not used to train AI models, and not shared with anyone else, and it is not read by people except as needed for security or to comply with the law.
How information is stored and protected
Data is kept on a private server in the United States. Connections use HTTPS. Passwords are stored hashed, the saved Google and e-signature access keys are encrypted, and the database is backed up regularly.
Sharing
We do not sell or rent personal information. Information is shared only as needed to run the business: leases are sent to the people who must sign them through our e-signature provider (SignWell), and emails go to the tenants they are addressed to.
Keeping and deleting information
Records are kept as long as they are needed to manage tenancies and for legal and tax record-keeping. The landlord can disconnect Gmail at any time in the app's email settings, or remove the app's access in their Google Account settings.
